Getting Started
The Allocated points utilization report helps you understand how employees, leaders and managers are using the recognition points allocated to them. It provides a clear view of how many points were allocated, how many were used to recognize others, and how much remains unused during a selected allocation period.
Use this report to monitor recognition point usage across your organization, identify employees or teams with low utilization, and make informed decisions about recognition program engagement and point allocations.
This report is available to Global Admins, Budget Feature-Admins, and users with appropriate report-sharing access.
When to Use This Feature
- Monitor how effectively managers are using their monthly or quarterly recognition point allocations.
- Identify employees with unused points who may benefit from reminders, coaching, or guidance on recognizing others.
- Compare point utilization across departments, locations, or other organizational teams.
- Review recognition point usage before the end of an allocation period to encourage employees to use their available points.
- Inform future allocation decisions by identifying where recognition points are consistently underused.
Step-by-Step Instructions
Accessing the report
- Open the Admin menu and navigate to Reports.
- Find Allocated points utilization under the Points reports category.
Understanding the summary metrics
At the top of the report, three summary cards provide an overview of recognition point utilization for the selected period and population.
- Points allocated: The total number of recognition points allocated to users during the selected period, including applicable allocation adjustments.
- Points used vs. points remaining: A visual comparison of points used to recognize others and points that remain unused from those allocations.
- Points utilization rate: The percentage of allocated points that have been used to recognize others.
The utilization rate is calculated as:
Points utilization rate = (Points used ÷ Points allocated) × 100
For example, if employees were allocated 10,000 points and used 7,500 points, the utilization rate would be 75%.
Note: This report measures the use of personal point allocations for the purposes of recognition and endorsement. It does not include points used from Points Banks or points redeemed for rewards.
Selecting a reporting period
The report uses your organization's configured point allocation cycle to determine which reporting periods are available.
- Click the date dropdown at the top of the report.
- Select the allocation period you want to review.
- Monthly allocation cycles display individual months.
- Quarterly allocation cycles display individual quarters.
- Review the updated summary metrics and user-level table.
You can select the current allocation period or a previous period for which data is available.
Note: Only one allocation period can be selected at a time. Custom date ranges and comparisons across multiple periods are not available.
Filtering the report
Use filters to focus on the employees or organizational groups you want to monitor.
- Click Filters at the top of the report.
- Apply one or more available filters:
- Users: Focus on specific employees.
- User status: Filter employees by their status.
- Managers: Focus on employees associated with selected managers.
- Teams: Filter by organizational teams, such as departments or locations.
- Direct reports: Limit the view to employees who have direct reports.
You can combine filters to narrow your results. For example, select a department and use the Direct reports filter to focus on managers within that department.
Reviewing utilization by user
The table provides a detailed view of how each employee uses their allocated recognition points.
Each row includes basic user details, as well as:
- Points allocated: The recognition points allocated to the employee for the selected period, including manual adjustments by a program administrator.
- Points used: The points the employee used to recognize or endorse others during the period.
- Points utilization: The percentage of their allocation that the employee has used.
By default, the table is sorted by Points utilization, with the highest percentages first.
Helpful Tips & Ideas
- Review utilization during the allocation period, not just after it ends. This gives you time to encourage recognition before unused points expire.
- Focus on employees with low or zero utilization. They may need a reminder, additional training, or ideas for recognizing their colleagues.
- Use the Direct reports filter to monitor recognition point usage among people managers.
- Compare different organizational populations by applying team filters. This can help identify departments or locations that may benefit from additional recognition program support.
- Consider utilization alongside engagement reports. Using points is one measure of recognition activity, but it does not show how many employees are being recognized or how meaningful their recognition is.
- Review historical allocation periods to inform future recognition point allocations.
FAQs
Q: What is the difference between Points allocated and Points used?
A: Points allocated represents the recognition points assigned to employees during the selected allocation period, including applicable adjustments made by administrators. Points used represents the points employees spent recognizing or endorsing others, accounting for reversed transactions.
Q: How is the Points utilization rate calculated?
A: The rate is calculated by dividing Points used by Points allocated and multiplying by 100. For example, using 150 out of 200 allocated points results in a 75% utilization rate.
Q: Does this report include points from Points Banks?
A: No. It only measures points from employees' personal recognition allocations. Points Banks and other unrelated point sources are excluded.
Q: Can I view utilization for previous months or quarters?
A: Yes. You can select previous allocation periods when data is available in Kudos Next Gen. The available periods depend on your organization's allocation cycle.
Q: Can I select a custom date range or compare multiple periods?
A: No. The report is organized by individual allocation periods. You can review each available period separately.
Q: Can I filter the report to show only managers?
A: Yes. Use the Direct reports filter to identify employees who have direct reports. You can combine this with team filters to narrow the population.
Q: Who can access this report?
A: Global Admins and Budget Feature-Admins have access through the Reports section. Other stakeholders may receive access through the report-sharing functionality, subject to applicable permissions.
Q: Can I export the report?
A: Yes. Click Export as CSV to download the utilization data for the selected period and filters.
Q: Can I view utilization from before my organization migrated to Kudos Next Gen?
A: No. Historical points transactions from Kudos Classic are not included. If your organization migrated partway through an allocation period, the report uses the migrated allocation balances and only includes points usage recorded in Kudos Next Gen. As a result, utilization for that period may not reflect the full allocation cycle.
