Getting Started
Voucher rewards allow employees to redeem their Kudos points for unique voucher codes or gift cards that can be used at your organization's brand store or with external vendors. They're a great way to expand your rewards catalogue with personalized options that reflect your employees' interests and preferences.
With Kudos Rewards+, you can offer voucher rewards through an external vendor that provides unique redemption codes. Your organization coordinates with the vendor to obtain the codes, prepares the required reward information, and submits everything to Kudos Support or your Client Success Manager for setup.
Once configured, voucher rewards give employees more ways to enjoy their recognition while allowing your organization to offer additional rewards without impacting your Kudos reward float.
Before getting started, make sure your organization meets these requirements:
- Active Kudos Rewards+ account: Your organization must have an active Kudos Rewards+ account to set up voucher rewards.
- Vendor agreement: You must have an agreement with a third-party vendor that can generate unique, functional voucher codes.
Note: If you'd prefer to set up and manage a custom reward store without vouchers directly in Kudos Next Gen, refer to How to set up and manage a Custom reward store for step-by-step instructions.
When to Use This Feature
- Adding branded merchandise or company store vouchers to your rewards catalogue.
- Offering employees gift cards or vouchers from a preferred external vendor.
- Expanding your recognition program with reward options that are unique to your organization.
- Preparing custom voucher rewards for an upcoming program launch or recognition campaign.
- Offering location-specific voucher rewards to employees in countries supported by your vendor.
Step-by-Step Instructions
1. Obtain voucher codes from your vendor
Before submitting your voucher rewards to Kudos, work with your external vendor to obtain the necessary codes.
- Contact your vendor and request a list of unique voucher codes for the rewards you want to offer.
- Confirm that each voucher code is unique and functional.
- Verify that the vendor can support employees in the countries where you plan to make the rewards available.
- Gather any redemption instructions, activation codes, URLs, denominations, and expiration dates associated with the vouchers.
Tip: Confirm geographical availability with your vendor early in the process. This helps avoid offering rewards to employees in locations where the vouchers cannot be redeemed.
2. Complete the Voucher Template
The Voucher Template contains the information required to configure individual voucher codes.
- Download the Voucher Template provided at the bottom of this article.
- Replace the orange-filled examples with your organization's voucher information.
- Complete the applicable fields, including:
- SKU
- URL
- Redemption code
- Activation code
- Denomination
- Expiration date
- Confirm that each voucher entry has a unique SKU.
- Review the completed template for accuracy.
Important: Every voucher must have a unique SKU, even when multiple vouchers have the same denomination.
For example, if you're uploading 1,000 vouchers worth $10 each, the SKUs must be different:
- EGIFT101
- EGIFT102
- EGIFT103
Continue this numbering pattern for each additional voucher.
Using unique SKUs ensures that each voucher can be identified individually during setup.
3. Complete the Custom Reward Import Template
The Custom Reward Import Template provides the details needed to configure how each reward appears in your Kudos rewards catalogue.
- Download the Custom Reward Import Template at the bottom of this article.
- Review the fields and identify the required information highlighted in the accompanying screenshot.
- Replace the example data with your organization's reward details.
- Complete the required fields for each reward.
- Review the information to ensure it matches the vouchers you are submitting.
4. Prepare your custom reward images
If you're providing custom images for your voucher rewards, make sure they meet the following requirements:
- File size must be less than 1 MB.
- Maximum image dimensions are 750 × 900 pixels.
- Image aspect ratio cannot exceed 3:1.
- Images should have a white background.
Review your images before submitting them to avoid delays during setup.
5. Submit your voucher rewards for setup
Once both templates are complete, send the required information to Kudos Support or your Client Success Manager.
- Prepare the completed Voucher Template and Custom Reward Import Template as CSV files.
- Include your custom reward images, if applicable.
- Provide the countries where each voucher reward should be available.
- Include the content employees will need when they receive their voucher, such as:
- The URL where the voucher can be redeemed
- Redemption instructions
- Support contact information
- Any additional instructions required by the vendor
- Email the completed files and supporting information to support@kudos.com or your Client Success Manager.
Submit your information ideally two weeks before your intended launch date to allow time for processing.
Note: Voucher rewards are submitted to Kudos Support or your Client Success Manager for processing. The provided setup process does not include a self-service upload through the admin platform.
6. Manage voucher rewards after setup
After your voucher rewards have been configured, keep the following responsibilities in mind:

- Confirm that the redemption instructions and support contact details provided to employees remain accurate.
